Privacy Policy
Applies to All Users of the Soundbooked Platform · Last Updated: August 10, 2026
This Privacy Policy explains how Soundbooked LLC collects, uses, shares, and protects your personal information when you use our platform. Please read this policy carefully. By using Soundbooked, you agree to the practices described here.
1. About Soundbooked
Soundbooked LLC is a Delaware limited liability company operating a two-sided marketplace platform that connects independent recording studio owners ('Studio Hosts') with artists, producers, podcasters, and other creators ('Guests') for the purpose of booking studio sessions. Soundbooked operates at soundbooked.com and through its associated mobile and desktop applications (collectively, the 'Platform').
When this Privacy Policy refers to 'Soundbooked,' 'we,' 'us,' or 'our,' it means Soundbooked LLC. When it refers to 'you,' it means any user of the Platform, whether a Studio Host, Guest, or visitor.
2. Information We Collect
We collect information in three ways: information you provide directly, information collected automatically when you use the Platform, and information received from third parties.
2.1 Information You Provide Directly
When you create an account, list a studio, or make a booking, you may provide:
- Account information: full legal name, email address, phone number, and password
- Payout onboarding information (Studio Hosts): to receive payouts, Studio Hosts complete onboarding directly with our payment processor, Stripe. Stripe collects identity and banking information on its own forms (which may include date of birth, government identifiers, and bank account details) under Stripe's own privacy policy. Soundbooked never receives or stores this information; we receive only the verification status of the account
- Profile information: profile photo, biography, and genre or creative focus
- Listing information (Studio Hosts): studio name, description, address, photos, gear inventory, session types, pricing, availability, and house rules
- Payment information: bank account details for Studio Host payouts and payment card information for Guest bookings. All payment data is processed and stored by Stripe, Inc. Soundbooked does not store full credit card or bank account numbers
- Communications: messages sent through our in-platform messaging system between Studio Hosts and Guests, and any communications sent to Soundbooked Support
- Reviews and ratings: written reviews and star ratings submitted after completed sessions
- Dispute documentation: photos, descriptions, receipts, and other evidence submitted in connection with damage claims or booking disputes
2.2 Information Collected Automatically
When you use the Platform, we automatically collect:
- Device information: device type, operating system, browser type and version, and device identifiers
- Usage information: pages viewed, features used, search queries, booking history, and time spent on the Platform
- Log data: IP address, access times, referring URLs, and error logs
- Location information: approximate location derived from your IP address. We do not collect precise GPS location without your explicit consent
- Cookies and similar technologies: session cookies, persistent cookies, and similar tracking technologies as described in Section 9 of this Policy
- Communication metadata: timestamps, delivery status, and read receipts for in-platform messages. Soundbooked reserves the right to review flagged messages for platform safety purposes as described in our Terms of Service
2.3 Information from Third Parties
We may receive information about you from third parties, including:
- Stripe: payment processing status, payout information, identity verification results, and fraud signals
- Other users: reviews, ratings, and reports submitted about your account by other Studio Hosts or Guests
3. How We Use Your Information
We use the information we collect for the following purposes:
3.1 Providing and Operating the Platform
- Creating and managing your account
- Processing booking requests, payments, authorizations, and payouts
- Facilitating communication between Studio Hosts and Guests through in-platform messaging
- Displaying studio listings and search results
- Processing damage claims and booking disputes through Soundbooked Support
- Issuing tax reporting documents including Form 1099-K where required by law (note: Stripe facilitates 1099-K issuance directly to Studio Hosts meeting applicable thresholds)
3.2 Trust, Safety, and Platform Integrity
- Verifying the identity of Studio Hosts and Guests
- Detecting and preventing fraud, abuse, and off-platform transactions ('leakage')
- Monitoring in-platform messages for prohibited content including personal contact information shared to circumvent the platform
- Enforcing our Terms of Service, Studio Host Agreement, and Guest Agreement
- Investigating complaints and conducting dispute resolution through Soundbooked Support
- Reviewing and approving or rejecting Studio Host listing applications
3.3 Communications
- Sending booking confirmations, reminders, and payout notifications
- Responding to support requests and dispute communications through Soundbooked Support
- Sending platform updates, policy changes, and important account notices
- Sending marketing communications where you have opted in or where permitted by applicable law
3.4 Improving the Platform
- Analyzing usage patterns to improve features and user experience
- Conducting research and development for new platform features
- Generating aggregated and anonymized analytics about platform performance
3.5 Legal and Compliance
- Complying with applicable laws, regulations, and legal process
- Responding to lawful requests from government authorities
- Enforcing our legal rights and agreements
- Calculating and remitting applicable sales and occupancy taxes
5. Data Retention
We retain your personal information for as long as your account is active or as needed to provide you with the Platform's services. We also retain and use your information as necessary to comply with our legal obligations, resolve disputes, prevent fraud, and enforce our agreements. Specifically:
- Account information is retained for the duration of your account and for a reasonable period thereafter to comply with legal obligations
- Booking records, payment records, and dispute documentation are retained for a minimum of seven years for legal and tax compliance purposes
- Studio Host listing information including equipment inventories and photos are retained for the duration of the listing and for a reasonable period after deactivation
- In-platform messages are retained for dispute resolution and platform safety purposes
- Identity verification records are retained in accordance with Stripe's data retention policies
Deactivating your account disables sign-in and clears your login identifiers, but does not delete your information: your name, bookings, messages, and reviews are retained so that transaction history stays intact for other users and for our legal obligations. Separately, you may request deletion of your personal information as described in Your Privacy Rights below. Where we delete, some information is retained where the law requires it or a legitimate business purpose applies (such as completed transaction records, dispute resolution, and fraud prevention), and residual copies may remain in backup systems for a limited period.
6. Your Privacy Rights
Depending on your location, you may have certain rights regarding your personal information. These may include:
6.1 Access and Portability
You have the right to request a copy of the personal information we hold about you. You may access much of your account information directly through your account settings. To request a full data export, contact Soundbooked Support at support@soundbooked.com.
6.2 Correction
You have the right to request correction of inaccurate personal information. You can update most account information directly through your account settings. For information you cannot update yourself, contact Soundbooked Support at support@soundbooked.com.
6.3 Deletion
You have the right to request deletion of your personal information, subject to our legal retention obligations. To request account deletion, contact Soundbooked Support at support@soundbooked.com. Note that some information may be retained as required by law or for legitimate business purposes such as dispute resolution and fraud prevention.
6.4 Opt-Out of Marketing
You may opt out of receiving marketing communications from Soundbooked at any time by clicking the unsubscribe link in any marketing email or by contacting Soundbooked Support at support@soundbooked.com. You will continue to receive transactional communications necessary for your use of the Platform.
6.5 California Privacy Rights (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act, including the right to know what personal information we collect and how we use it, the right to delete your personal information, the right to opt out of the sale of your personal information (note: Soundbooked does not sell personal information), and the right not to be discriminated against for exercising your privacy rights. To exercise your California privacy rights, contact Soundbooked Support at support@soundbooked.com.
6.6 How to Exercise Your Rights
To exercise any of the rights described in this Section, please contact Soundbooked Support at support@soundbooked.com with the subject line 'Privacy Rights Request.' We will respond within 45 days. We may need to verify your identity before processing your request.
7. Data Security
Soundbooked takes the security of your personal information seriously. We implement reasonable technical and organizational measures to protect your information against unauthorized access, disclosure, alteration, and destruction. These measures include:
- Encryption of data in transit using TLS/SSL
- Secure payment processing through Stripe — Soundbooked never stores raw payment card or bank account data
- Studio Host identity verification is performed by Stripe during payout onboarding. Soundbooked never receives or stores government ID documents
- Access controls limiting employee access to personal information on a need-to-know basis
- Monitoring for suspicious activity and unauthorized access attempts
No method of transmission over the internet or method of electronic storage is completely secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee its absolute security. In the event of a data breach that is reasonably likely to result in risk to your rights and freedoms, we will notify affected users as required by applicable law.
8. Third-Party Links and Services
The Platform may contain links to third-party websites or services that are not operated by Soundbooked. This Privacy Policy does not apply to those third-party websites or services. We encourage you to review the privacy policies of any third-party sites you visit. Soundbooked has no control over and assumes no responsibility for the privacy practices of third-party websites or services.
The Platform integrates with Stripe for payment processing and identity verification. Your use of Stripe's services is subject to Stripe's Privacy Policy, available at stripe.com/privacy.
10. Minors and Children's Privacy
Account creation and booking on the Platform is restricted to users who are at least 18 years of age. We do not knowingly collect personal information directly from anyone under 18 for the purpose of account creation.
A registered Guest who is 18 years of age or older may book a session and bring a minor to attend as a supervised attendee, provided the registered Guest is physically present and acting as a supervising chaperone for the full duration of the session. In this case, limited incidental information about the minor's presence may be collected in connection with the booking, such as declared headcount. We do not create accounts for minors, and we do not knowingly collect personal information from minors for any purpose beyond what is incidental to a supervised session booked by a registered adult Guest.
If we become aware that we have collected personal information from a minor without appropriate adult supervision or in violation of these policies, we will take steps to delete that information promptly. If you believe we have collected information from a minor inappropriately, please contact Soundbooked Support at support@soundbooked.com.
11. Interstate Data Transfers
Soundbooked is based in the United States and processes all data in the United States. If you are accessing the Platform from outside the United States, please be aware that your information may be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your jurisdiction. By using the Platform, you consent to this transfer.
12. Studio Host-Specific Privacy Considerations
As a Studio Host on Soundbooked, you provide additional personal and business information that is handled as follows:
- Studio address: your studio's full address is shared only with confirmed Guests — it is not publicly displayed on your listing to unconfirmed users
- Equipment inventory: your gear list is used for platform operations and dispute resolution. It is not shared publicly and is not sold to third parties
- Identity verification: any identity documents requested during payout onboarding are collected and processed by Stripe, not by Soundbooked, and are never stored by Soundbooked
- Banking information: your bank account or debit card details for payouts are handled exclusively by Stripe. Soundbooked does not store this information
- Tax reporting: where required by law, Stripe will facilitate issuance of Form 1099-K reporting your annual earnings through the Platform to the IRS and to you
13. Google Calendar Integration
Studio Hosts may optionally connect a Google account so that a room's availability stays in step with a calendar they already keep. Guests never connect a Google account for this purpose, and the integration is never required in order to list a studio or to take bookings. This section describes exactly what Soundbooked receives from Google, what it does with it, what it keeps, and how to revoke it.
13.1 What We Access
When you connect a calendar, Soundbooked asks Google for three permissions:
- Permission to view and edit events on your calendars. Soundbooked uses this only on the single calendar you select, both to read the times you are already busy and to add your Soundbooked bookings to it
- Permission to view the list of your calendars, read only. This is used to show you your calendars so that you can choose which one to connect
- Your Google account's email address. This is recorded so that your choice of calendar survives reconnecting the same account
Google's consent screen lets you decline individual permissions. Declining the calendar events permission ends the connection rather than storing one, because no part of the feature can operate without it.
13.2 How We Use It
Soundbooked uses this access for two operations and no others:
- Importing your busy times. Soundbooked reads the events on the calendar you selected, across a rolling three-month window covering the current month and the two months following it, and marks those periods unavailable on the connected room. Events you have marked as "Free", and invitations you have declined, are ignored, because Google does not treat them as busy either
- Exporting your Soundbooked bookings. When a booking on the connected room is confirmed, Soundbooked adds an event to that calendar, and removes that event if the booking is later cancelled or declined
Soundbooked does not use Google Calendar data for advertising, does not sell it, does not use it to train machine learning or artificial intelligence models, and does not use it to build any profile of you unrelated to keeping the connected room's availability accurate.
13.3 What We Store
From each imported event Soundbooked stores the start time, the end time, Google's identifier for the event, and the event's title. The title is stored so that the calendar inside your Soundbooked host account can show you why a period is blocked rather than showing an unexplained gap. It is visible only within your own host account. It is never shown to Guests, never displayed on your public listing, and never shared.
Soundbooked also stores the access and refresh tokens for the connection, the connected Google account's email address, and the identifier and display name of the calendar you selected. Tokens are encrypted at rest using AES-256-GCM encryption and are used only to make the calls described in this section.
If you would prefer that the titles of your personal appointments were not stored, connect a calendar that holds only the commitments you are willing to have read, rather than one holding private entries.
13.4 How We Share It
Soundbooked does not share Google Calendar data with any third party. It is not passed to other users of the Platform, to advertisers, or to data brokers. Soundbooked personnel access it only where necessary to investigate a fault you have reported or to meet a legal obligation, on the same terms set out in section 4.
13.5 Limited Use
Soundbooked's use and transfer of information received from Google APIs to any other application adheres to the Google API Services User Data Policy, including its Limited Use requirements.
13.6 Disconnecting and Revoking Access
You can disconnect a calendar at any time from the calendar sync page in your Soundbooked host account. Disconnecting deletes the stored tokens and the connection record, and removes every unavailability entry that Soundbooked imported from that calendar. Events that Soundbooked previously added to your Google calendar for confirmed bookings are left in place, because they describe real bookings that still exist; you can delete them in Google Calendar yourself.
You can also revoke Soundbooked's access at any time from your Google account's security settings, under the third-party apps permissions page at myaccount.google.com. Revoking access there stops all future syncing in the same way.
14. Platform Message Monitoring
Soundbooked's in-platform messaging system is provided as a tool to facilitate communication between Studio Hosts and Guests in connection with bookings. To protect the integrity of the Platform and enforce our anti-circumvention policy, Soundbooked's systems monitor messages for patterns indicating attempts to share personal contact information or arrange off-platform transactions.
Flagged messages are reviewed by Soundbooked Support team members. By using the in-platform messaging system, you acknowledge and consent to this monitoring for platform safety and integrity purposes. Soundbooked does not sell or share message content with third parties except as required by law or as described in this Privacy Policy.
15. Text Messages (SMS)
15.1 What We Send
Soundbooked sends text messages about bookings you are party to: a new booking request, a confirmation, an approval with a link to pay, a cancellation, a reminder before a session, and a prompt to review a completed session. These are account and transaction notifications. Soundbooked does not send marketing or promotional text messages.
Separately from the notifications above, Soundbooked sends a one-time passcode by text when you sign in or verify a phone number. That passcode is part of authentication, is sent whether or not you have opted in to booking notifications, and cannot be turned off while you use a phone number to sign in.
15.2 How You Opt In
You opt in when creating your Soundbooked account, by selecting the checkbox next to the disclosure that reads: "We'll text you important booking updates: confirmations, cancellations, and payment links. Message frequency varies. Msg & data rates may apply. Reply STOP to opt out, HELP for help." Soundbooked records the date and time of your consent on your account. If you do not select it, you receive no booking notifications by text.
Consent to receive text messages is not a condition of purchase or of using the Platform. You may instead receive the same notifications by email.
15.3 Frequency and Cost
Message frequency varies and depends on your own booking activity. Message and data rates may apply. Your mobile carrier is not liable for delayed or undelivered messages.
15.4 How to Stop
Reply STOP to any Soundbooked text message to stop booking notifications. Reply HELP for help, or contact support@soundbooked.com. You can also turn booking texts off at any time in your Soundbooked account under Account, then Notifications.
15.5 We Do Not Share Your Mobile Information for Marketing
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Your phone number and your text-message consent are shared only with the messaging provider that delivers the message on our behalf, and only for that delivery. Section 4 of this policy describes all other sharing, and none of it includes selling or renting your mobile information.
16. Changes to This Privacy Policy
Soundbooked reserves the right to update this Privacy Policy at any time. We will notify you of material changes by posting the updated policy on the Platform and updating the effective date. For significant changes, we will provide additional notice such as an email notification or an in-platform alert. Your continued use of the Platform after the effective date of any changes constitutes your acceptance of the updated Privacy Policy.
